Four Phase Approach to Computer, Network, Consulting & Support Services

Phase I. Determine current state of computing facilities

AStArt Technologies will evaluate and document the current state of the facilities now in use. This evaluation is broken into the following categories: computing hardware, software, network and data communications. Each of the four categories will be examined from the perspective of reliability, suitability, and supportability. This evaluation will establish a benchmark for subsequent phases.

Reliability:

  • Is current hardware available when needed?
  • Are current system configurations stable?
  • Can new uses be implemented with minimum impact?
  • What recurring problems exist?
  • Are all systems available and stable?

Suitability:

  • Are hardware are software most cost effective for business?
  • Is system performance adequate for the intended uses?
  • What limitations impact business processes?
  • Can data be shared easily among various departments and workgroups?
  • Is software well matched to the needs and capabilities of the users?

Supportability:

  • Does technical and user documentation exist for all hardware and software?
  • Are the assets properly documented to facilitate theft recovery or insurance claims?
  • What are periodic maintenance requirements for the equipment in use?
  • How and when are backups currently performed?
  • Is a suitable disaster recovery plan in place?
  • Are users adequately trained to make productive use of available tools?

A critical part of this evaluation involves an in-depth discussion with key staff members regarding actual day-to-day operations and computer related issues. Following the onsite data gathering, AStArt Technologies will produce a written report that will describe the observed state of the computer systems, network and data communications. This report will include an inventory listing of all hardware and software, as well as information that will quantify the amount of time spent by staff members on system support and administration. We will now have a baseline for subsequent planning and decision-making.

Phase II. Define current upgrade and future expansion needs

AStArt Technologies will examine both the company strategic plans and the needs of individual users to define requirements for system upgrades and future expansion. Requirements driven by anticipated changes in business processes will be integrated and solutions to issues found when working on Phase I will be considered. This process will require the participation of senior company management. A discussion will be held to consider the following:

  • General application software (spreadsheet, word processing, and database)
  • Technical software (CAD-CAM, image processing, and desktop publishing)
  • Business software (accounting, human resource, and inventory control)
  • Computing hardware including any specialized peripherals
  • Printing & graphics needs
  • Internal network needs (groupware & Intranet)
  • Internet access, external network communications and remote access

Based on the information gathered above, AStArt Technologies will produce a report detailing recommended upgrades and defining a plan for future expansion. Anticipated costs will be detailed on near term requirements and estimated for longer-term items. A range of options of varying costs will also be presented.

Phase III. Implementation:

AStArt Technologies can either implement the upgrade and expansion plans, that result from Phase II outcome, or will oversee their implementation. Material requirements will be finalized and a detailed installation schedule will be determined in advance of work being completed. Our facility will either procure the required equipment and software or will arrange for procurement. We can provide all necessary hardware and software upgrade or installation services.

Phase IV. Ongoing Support:

Providing computer and network support is often an area that small businesses have limited expertise, and outsourcing can be extremely cost effective. AStArt Technologies provides a wide range of ongoing support services. We believe that being pro active is the best way to save time and money, when it comes to servicing the latest technological needs. We can provide an ongoing service agreement that can be customized to the needs of the client. We call this agreement a Computer Healthcare Maintenance Organization or for short, CHMO. Our CHMO agreement includes but is not limited to the following:

  • Help desk services
  • Routine troubleshooting
  • System repairs
  • Periodic scheduled maintenance
  • Emergency repair
  • Systems administration
